In this role, you’ll be responsible for multi-state payroll processing with accuracy, compliance and confidentiality.  With your 7+ years of experience,  you will ensure our team members are paid correctly and on time, while keeping us fully aligned with federal, state, and local regulations.

OBJECTIVE / PURPOSE 

The Payroll Administrator is responsible for performing all aspects of biweekly and monthly payroll processing, ensuring full compliance with applicable federal, state, and local laws, regulations and reporting requirements. This position demands the highest levels of professionalism and integrity and closely collaborates with benefits administration, employee relations, human resources/organizational development and finance and accounting departments.   

MAJOR RESPONSIBILITIES AND FUNCTIONS

  •  Process bi-weekly and monthly payroll for multiple locations.
  • Transmit all payments and associated files to relevant parties in accordance with established schedules.
  • Update and maintain accurate payroll records including new hires, terminations, banking information, deductions and tax details. 
  • Administer and process garnishments, deductions and other mandatory withholdings.
  • Administer time and attendance processes such as assigning schedules, manager access and training, clock maintenance, resetting passwords and badge replacements.
  • Prepare and reconcile payroll reports, including general ledger entries and month-end reporting.  
  • Stay informed about changes in payroll laws and applicable taxes for all states in which the company operates.
  • Develop and facilitate payroll training programs as needed.
  • Manage annual and year-end processes including W2 preparation, tax filings, and audits.
  • Respond to payroll inquiries promptly and professionally.
  • Work collaboratively with the HR/OD team to develop effective, standardized procedures and solutions.
  • Proactively review payroll processes, ensure they are current and identify opportunities to enhance them. 
  • Perform additional duties as assigned.

POSITION REQUIREMENTS

 Education:  Bachelor’s degree or equivalent required.

Experience:  7+ years of multi-state payroll processing experience.  Advanced experience with ADP Workforce Now required.  Certified Payroll Professional (CPP) certification a plus.

Specialized Training/Skills: Current experience in multi-state federal and state payroll regulations, tax laws, and wage/hour compliance.  Intermediate proficiency in MS Office 365, strong analytical, conflict resolution, and communication skills. High attention to detail and accuracy in data entry and calculations.  Excellent communication and customer service skills.  Must handle HR/payroll issues confidentially and professionally.
